MISSION OF THE DEPARTMENT
Needs to be developed to incorporate Network governance, Resource Mobilisation and the DGO.
MAJOR FUNCTIONS
Coordinates the effective functioning of the Strategic Engagement departments, fostering engagement and participation across the teams. Supports the Chief Strategic Engagement Officer with the preparation of communication materials, statistics, presentations, and key projects. Manages executive agenda requirement, arranging meetings, travel and other administrative matters Operates and performs with considerable independence diversified tasks and duties using initiative, judgement and knowledge of organization policies.
Major Duties and Responsibilities
- Assists the Chief Strategic Engagement Officer with scheduling meetings, organising travel, and other administrative tasks;
- Supports on key projects being led by Chief Strategic Engagement Officer, and works closely with broader project team in project management, developing communication materials, edits, reformatting, etc.;
- Helps to prepare presentations, collate statistics, any communication material required by the Chief Strategic Engagement Officer for the Director General, Executive Team, NET, IB or any other meetings;
- Ensures consistent division communications, regular meetings and coordination with relevant members for specific projects;
- Maintains a database of key internal and external contacts/Network stakeholders and external partners to enable quick and easy interaction;
- Assists the Chief Strategic Engagement Officer in identifying the most powerful methods of communications to support the engagement agenda;
- Maintains and animates social media or other platforms as required;
- Maintains any intranet or other work sites dedicated to the work of the Strategic Engagement Division;
- Organises key Network meetings, both virtual and physical, including logistics of the venue and coordinates the preparation of background documentation and presentation materials;
- Takes and prepares minutes of all relevant Division leadership team meetings;
- Collaborates with Network Governance team and Manager, Annual Conference and Orientations with preparations for key meetings.
- Performs other duties from time to time at the request of the Chief Strategic Engagement Officer.
PROFILE
Required Qualifications.
- Commercial diploma or equivalent;
- At least 4-5 years relevant C-suite executive assistant experience in a complex, international environment;
- Communications experience desirable.
Required Skills and Competencies.
- Proactive team player and ability to take initiative;
- Diplomacy and ability to deal with complex stakeholders, situations and confidential issues;
- Ability to build relationships and foster effective communication;
- Good organizational, administrative, multitasking and prioritization skills;
- Excellent communication skills, both orally and in writing;
- Advanced MS Office/Google suite/virtual tools;
- Perfect fluency in English, (other languages an advantage);
- Interest in conservation and WWF's work;
- Embraces the WWF mission and values of the organization: Courage, Integrity, Respect & Collaboration.
WORKING RELATIONSHIPS
Internal.
Coordinates administrative requirements with the assistants of the Executive Team, key Network stakeholders, NET and the International Board, Internal Communications team and staff at all levels.
External.
Supports working relating to key external partners.
